Editorial note: This is an illustrative workflow case study, not a named customer story. Vishnaya has not supplied verified baseline or outcome measurements for publication, so this article makes no customer, time-saving, or performance claims.
Imagine a Rudraksha lab that tracks incoming specimens in a spreadsheet, stores macro photographs and X-ray views in separate folders, and fills certificates from a document template. The staff can complete the work, but matching each certificate to its images requires careful manual checks.
Map the current record
The lab begins by documenting the fields it already needs: specimen ID, client reference, intake date, technician, original evidence, observations, reviewer, and certificate number. For a Mala or Kantha, each bead needs its own images and findings while remaining linked to the parent collection.
Join the steps in one workflow
A software workflow creates the specimen record at intake, assigns a unique report number, and attaches the original images. Technicians can add observations and mark a review as pending. A reviewer checks the record and approves or returns it for correction. The certificate is generated from approved data rather than retyped from several sources.
Keep evidence and decisions distinct
Image tools can provide contrast, edge, or inverted views, but the original radiograph should remain available. Automated suggestions should be labeled separately from technician observations and reviewer conclusions. If a record changes, retain an appropriate history so the lab can explain the update.
Give customers a verification path
A QR code can open a report-specific verification page that confirms selected details and current status. It should not expose private client data. The lab should decide how to correct or withdraw a report and how that status appears to a customer.
Roll out with a small sample
Before migrating every record, enter a small sample of single-bead and multi-bead cases. Compare the output with the lab’s approved process, test report numbering, verify printed documents, and train the people who will use the system. Measure the workflow before and after if the lab wants to publish outcome figures later.
